Do I require a visa to visit Hobart?

Is the water in Hobart safe to drink?

What is the currency and what banks operate in Australia?

Once you’re here, you can exchange your currency in many places, including at the airport when you arrive. Hobart has a couple of foreign exchange shops across the city, including banks.

The most commonly accepted credit cards in Australia are American Express, Bankcard, Carte Blanche, Diners Club, MasterCard, Visa and BarclayCard.

During the Event

What is the dress code for the Conference?

The dress code throughout the day and social events is smart casual.

Where do I register when I arrive at the event?

The Registration Desk will be at the Hobart Conference & Function Centre. More information will be confirmed closer to the event. Please direct any questions you may have regarding registration, session attendance or other elements of the Conference to Leishman Associates staff at this desk.

What are the Registration Desk Open Hours?

How do I gain entry into the sessions?

Delegates will be provided with an individual name badge, which will give you access to all sessions and social events that you have registered to attend. This must be worn at all times within the Conference venue.


How will I know if there have been any changes to the program?

In the lead-up to the Conference, small updates will be made to the program. See the latest version on the website and in the Conference App. Any changes to the programs during the Conference will be announced during housekeeping notices each morning. You may also check with Leishman Associates staff at the Registration Desk.

Can I photograph or record the sessions?

Delegates are not permitted to use any type of camera or recording device at any of the sessions unless written permission has been obtained from the relevant speaker. A professional photographer will be at the Conference, if you have any issues with being photographed please notify the photographer or Leishman Associates staff.

Is there security at the Conference?

The members of the Organising Committee and Leishman Associates accept no liability for personal accident of loss or damage suffered by any participant, accompanying person, invited observer or any other person by whatever means. Nor do we accept liability for any equipment or software brought to the Conference by delegates, speakers, sponsors or any other party. Please protect your personal property. Do not leave laptops, cameras, and other valuable items unsecured. Be conscious of individuals who appear out of place and do not wear an event name badge. Advise Leishman Associates staff if this does not occur.

What is the Anti-Harassment Policy?

We will not tolerate harassment of participants in any form. Event participants violating the Anti-Harassment Policy may be sanctioned or expelled from the event without a refund at the discretion of the Event Organisers.

If you experience any bad behaviour and/or you feel uncomfortable or unsafe during the Conference, please contact the Event Organisers.

Registration & Social Functions

I have special dietary requirements – what do I do?

You must advise the Event Organisers of any special dietary requirements when you register for the event. Caterers at each function will be informed of these. During the day there will be a buffet table offering food suitable for dietary requirements. If you are unsure, please don’t hesitate to ask staff at the Registration Desk.

IMPORTANT– If your dietary request relates to a life-threatening allergy, please ensure that you advise the organisers as soon as possible.


How do I know if I’m registered for a social function?

After registering for the Conference, you would have been emailed a Registration Confirmation which lists all social functions for which you are registered. If you require another copy please email Yue Huang.

Can I bring a partner along to the social functions?

Yes, you most certainly can – additional tickets can be booked when you registered online, or through the Leishman Associates office. Please email your request to Yue Huang if you have already registered. During the Conference, bookings can be made at the registration desk, subject to availability.

Speaker or Chairperson

I am a Chairperson, what should I do?

Chairpersons will receive an email prior to the Conference, reminding them of their responsibilities. If you are a chairperson and do not receive this, or have additional questions, please contact Yue Huang at Leishman Associates (03 6234 7844).


I am a speaker, what should I do?

Please ensure that you upload your presentation via the technicians during the break times. This should be completed 2 hours before your presentation time. PLEASE bring your presentation on a USB storage device and upload it to the audio-visual technician in the Marina Room.

I am a poster presenter, what should I do?

The poster session starts from 6.00 pm – 7.30 pm on Tuesday 7 March 2023 at The Gretel Room.

You may place your poster on the boards from 8.00 am on Monday, 6 March and posters must remain up until 11.00 am on Friday, 10 March.  It is also your responsibility to make sure that your poster is removed on Friday, 10 March before 1.00pm.

Accommodation

How do I book my accommodation?

You can book your accommodation through the online registration form or by emailing Yue Huang to obtain an auto-login token to book your accommodation after you have registered. You will be asked to provide your check-in and check-out date as well as your credit card details to secure the booking. Delegates are encouraged to book in advance as availability closer to the Conference date is not guaranteed. Please check the Terms and Contions of your selected room at the time of booking.

I would like to change or cancel my accommodation booking?

Please email Yue Huang to cancel or change your accommodation prior to the Conference (at least 30 days prior to your arrival date to avoid additional fees). If you need to cancel your accommodation booking within 30 days of your arrival date any cancellation fees will be subject to the hotel cancellation policy. If you alter your accommodation booking after you have checked in, please deal directly with the hotel. If you arrive 24 hours later than your indicated arrival day, charges will apply.

Cancellation and Disclaimer

Cancellations must be received in writing – mail, or email – to Leishman Associates. Cancellations will not be deemed to be received until you have written confirmation from Leishman Associates. If you have not received acknowledgement within two business days, please contact Leishman Associates on (03) 6234 7844.

Should it be necessary to cancel your registration due to Government imposed travel restrictions, we will provide you with a full refund, minus any bank fees incurred. Evidence may be requested, and each situation scenario will be considered on a case-by-case basis.

Refunds for any other reason will adhere to the following cancellation terms:

Registration Fees:

  • Cancellations on and before 90 days prior the conference will incur a A$150.00 cancellation fee.
  • Cancellations on or before 60 days prior to the conference will incur a 50% cancellation fee.
  • Cancellations on or after 30 days prior to the conference will receive no refund.

Event Cancellation or Postponement

The members of the Committee and Leishman Associates do not accept any liability for losses incurred in the event being cancelled or postponed due to unforeseen circumstances or any other event that renders performance of the conference inadvisable, illegal, impracticable, or impossible.

An unforeseen event shall include but shall not be limited to: an Act of God; infectious disease outbreak, industrial disruptions, service provider failures, governmental restrictions and/or regulations; war or apparent act of war; terrorism or apparent act of terrorism; disaster; civil disorder, disturbance, and/or riots; curtailment, suspension, and/or restriction on transportation; or any other emergency.

Intellectual Property

All intellectual property rights of the Conference, and all materials distributed at or in connection with the conference is owned by the Host, Leishman Associates, Sponsors, &/or Speakers presenting at the conference. Participants may not use, reproduce or allow anyone to use or reproduce any trademarks or other trade names appearing at the conference, content, or in any materials distributed at or in connection with the Conference for any reason without the prior written permission from the Host.

No part of the Conference may be recorded, reproduced or transmitted in any form or by any means, electronically or mechanically, including but not limited to video or audio recording, photography, photocopying or any other information storage or retrieval system known now or in the future, without the explicit written permission of the Host.
